Terms of Service

These Terms of Service govern your use of botdoctor.io and any services provided by Bot Doctor (operated by Deacon Ridley, DFW, Texas). By using this site or engaging our services, you agree to these terms.

Services

Bot Doctor provides custom AI agent design, development, deployment, and ongoing maintenance services for small businesses. Each engagement is scoped individually through a discovery process. Services are described in a written proposal or statement of work, which supersedes any general descriptions on this website.

The "First Move" is a diagnostic engagement resulting in a written recommendation. Completion of the First Move does not obligate either party to a subsequent build engagement.

Payment

Payment terms, amounts, and schedules are specified in each engagement's proposal or invoice. Payment is due on the terms stated. Work does not begin — or continue — on unpaid invoices beyond any grace period specified in the proposal.

All fees are in USD. We do not offer refunds on completed work. If a project is cancelled after work has begun, you are responsible for the pro-rated value of work completed to date.

What we deliver

We build and maintain AI systems that operate on your business data and infrastructure. We commit to:

We do not guarantee specific business outcomes (revenue increases, lead conversion rates, or similar). AI systems are probabilistic — they perform well when built correctly and maintained, but no system is infallible. We design for reliability and recovery, not perfection.

Your responsibilities

You are responsible for:

Intellectual property

Upon full payment, you own the specific configuration, prompts, and workflows we build for your engagement. We retain the right to use general techniques, methodologies, and non-client-specific components in other engagements. We do not share your business-specific configuration or data with other clients.

Confidentiality

Both parties agree to keep each other's confidential information — business data, pricing, technical details — private. We do not discuss specific client engagements publicly without permission. We may reference the general category of work (e.g., "a roofing contractor in DFW") in marketing without identifying details.

Limitation of liability

To the maximum extent permitted by applicable law, Bot Doctor's liability for any claim arising from these terms or from services provided is limited to the total amount paid by you in the three months preceding the claim. We are not liable for indirect, incidental, or consequential damages, including lost revenue or data loss, even if advised of the possibility.

This limitation does not apply to claims arising from our gross negligence or willful misconduct.

Termination

Either party may terminate a retainer engagement with 30 days written notice. Project engagements may be terminated per the terms of the applicable proposal. Upon termination, we will provide reasonable transition assistance and return or delete your data per your written instructions within 30 days.

Governing law

These terms are governed by the laws of the State of Texas, without regard to conflict of law principles. Any disputes will be resolved in the courts of Tarrant County or Dallas County, Texas.

Changes to these terms

We may update these terms from time to time. Material changes will be noted with an updated "Last updated" date. Continued use of the site or services after changes constitutes acceptance. Active client engagements will not be retroactively affected by changes to these terms without written agreement.
